REGISTRATION

 When does the 2018 NCAA Convention take place?

The 2018 NCAA Convention takes place from Wednesday, Jan. 17, to Saturday, Jan. 20, more than a full week after the College Football Championship (Jan. 9) and during the week of Martin Luther King Jr. holiday (Jan. 15), in Indianapolis. This schedule is the second year of a change from previous Convention schedules.

 When can I register for the Convention?
Online registration begins Sept. 11 and continues until 5 p.m. Eastern time Jan. 15. Individuals also may register on-site at the Convention beginning Wednesday, Jan. 17.

 Where do I go to register for the Convention?
The link for registration is located on the NCAA Convention website at www.ncaa.org/convention.You also may register on-site at the Convention.

 Can nonmembers register for the NCAA Convention?
All nonmember registrations are subject to approval by the NCAA, and none will be accepted after Dec. 15.

 How much does it cost to register?
The fee to register is based on membership status and the registration date. A fee schedule is listed below:

Sept. 11-Oct. 10
• NCAA members – $200.
• Non-NCAA members – $500.
• Exploratory member schools – $200.
• Current college students or 2017 graduates – $25.

Oct. 11-Nov. 30
• NCAA members – $325.
• Non-NCAA members – $500.
• Exploratory member schools – $375.
• Current college students or 2017 graduates – $25.

Dec. 1 through on-site registration
• NCAA members – $450.
• Non-NCAA members – $700 (through Dec. 15 only and subject to NCAA approval).
• Exploratory member schools – $500.
• Current college students or 2017 graduates – $25.

 What meal functions are included with my Convention registration?
Your registration fee includes one ticket to each of the following:

  • Delegates Reception, 6-7:30 p.m. Thursday, Jan. 18.
  • Association Luncheon, 11:30 a.m.-1 p.m., Friday, Jan. 19. Tickets are available on a first-come, first-served basis and can be requested at the time of registration.
  • Delegates Breakfasts, 7-8 a.m. Friday, Jan. 19, and Saturday, Jan. 20.

Additional tickets for the Delegates Reception are $40 each.

 How can I attend the Honors Celebration?
The Honors Celebration awards dinner will be held Wednesday, Jan. 17. Tickets to the Honors Celebration will be available to registered delegates for $20 on a first-come, first-served basis. Additional guest tickets are $40 per ticket.  Honors Celebration tickets may be purchased during the registration process.

 May I pay by check or cash for my registration?
The online registration system accepts only credit card payments. Credit cards also will be accepted during on-site registration at Convention beginning Wednesday, Jan. 17. Checks from NCAA member schools will be accepted on-site.

 When and how is a registration confirmation sent?
Confirmation is sent via email immediately after you finalize your registration. Your confirmation serves as a receipt and includes hotel request and other event information.

 Is the cost of my hotel room included in my registration fee?
No, the cost is not included. Hotel rooms may be requested for an additional cost using our online registration system at the same time you register to attend. Hotel confirmation numbers will be sent via email in December. Please do not call the hotel directly to confirm your registration; all hotel questions should be directed to ncaahousing@shortstravel.com.

The rate below is for single and double occupancy per room per night and does not include the occupancy tax (currently 17 percent). Additional charges will be incurred for triple or quad occupancy.

I am registered but am unable to attend because plans changed. What do I do?
Convention registration: Someone may come in your place, or you can cancel your registration. All registration changes must be requested by emailing ncaaconvention@shortstravel.com. Before Dec. 8, a $50 cancellation fee will be collected, and the remaining registration fee will be refunded to the credit card charged during the online registration process. The cancellation fee changes to $100 on Dec. 9. Cancellations after Jan. 5 are nonrefundable. All deadlines are effective midnight Eastern time.

Hotel reservation: To cancel your hotel room, do not contact the hotel directly. Instead, contact Short’s Travel at ncaahousing@shortstravel.com. Please review your confirmation regarding cancellation fees at each hotel.

APPOINTMENT OF DELEGATE

How does an NCAA member school or conference appoint a voting delegate?
Presidents, chancellors, directors of athletics and commissioners will receive emails in mid-November providing instructions to gain entry to the school- or conference-specific Appointment of Delegate Form found at www.ncaa.org/convention. If a president, chancellor, director of athletics or commissioner needs to have the information resent, someone from his or her office can contact ncaaconvention@shortstravel.com.

 Why doesn’t a name show up on the drop-down list for voting delegates?
All names automatically are transferred to the Appointment of Delegate system once those individuals register for the Convention. If a name does not appear in the drop-down box, that means he or she either has not registered for the Convention or did not select your university or conference during the registration process. Ask the individual to complete the registration before trying again. If you continue to have issues, contact ncaaconvention@shortstravel.com.

DRESS CODE

What is the dress code?
Dress is business casual for the majority of Convention events. The Honors Celebration on Wednesday evening is business attire.

PROGRAM

Where will Convention activities take place?

The JW Marriott Indianapolis, Indianapolis Marriott Downtown, Hyatt Regency Indianapolis, and Westin Indianapolis will provide meeting space and sleeping rooms for the 2018 NCAA Convention.  The Indiana Convention Center and the NCAA Hall of Champions and Conference Center will also house meetings.  In addition, the SpringHill Suites Indianapolis Downtown and Fairfield Inn & Suites Indianapolis Downtown will provide sleeping rooms for Convention attendees.

 Are speaker handouts or video copies of presentations available?
After the Convention, Association-wide menu session materials will be available online at www.ncaa.org/convention.

TECHNICAL ISSUES

How long do I have before the registration system times out?
All registrations will time out if not finalized within two hours. Direct additional questions regarding timing out to ncaaconvention@shortstravel.com.

 How do I get a copy of my confirmation page?
If you have your confirmation number, you can log in to the registration system by clicking here. At the bottom of the page, enter your name and confirmation number. Once you have accessed your registration, click on the confirmation page, then click on resend confirmation. If you do not have your confirmation code, please email ncaaconvention@shortstravel.com.

 Why is my school not listed in the drop-down box?

  1. Please verify that you are registering under the correct division.
  2. If your school is in the process of reclassifying from one division to another, you will need to register under the division to which it is reclassifying.
  3. If you are still unable to locate your school in the drop-down list, contact ncaaconvention@shortstravel.com.
